How it shows up
- The latest offer, inspection, or amendment is in someone's mail.
- Partners (notary, inspector, lender) are updated by chasing.
- Clients ask where the file is because nothing they can see answers it.
- Checklists exist, then diverge from reality after the second exception.
Why it matters
Each role has a tool. The file that actually closes is the intersection, and nobody's product owns that intersection.
If nothing changes
- Deals slip for administrative reasons, not market reasons.
- The most reliable coordinator becomes irreplaceable.
- Risk sits in missing conditions that nobody is staring at.
When it is working
The file has a state, an owner, and the documents it still needs. Clients and partners see what they are allowed to see. Exceptions are a list, not a feeling.
Problems we commonly work on
Possible systems
- A file workflow across internal roles
- Document requirements that stay attached to the file
- Limited partner or client visibility
- Do not replace the MLS or accounting if they already work
Signals worth watching
- Files delayed for missing documents
- Status requests per open file
- Time spent reconstructing 'where we are'
Integrations
- Document storage
- CRM if it is already intake
- Accounting

Comparable files are walked through in a working session. We do not invent percentages for the website.
Describe the process as it runs. A specification is optional.
