How it shows up
- Reservation, in-house, and billing disagree about the same stay.
- Special requests live in a note that the next shift does not see.
- Guests call or wait because status is not visible to them or to staff.
- Events or groups are run beside the PMS in a spreadsheet.
Why it matters
Property systems cover the common stay. Differentiation (groups, outlets, recovery, specific service rules) leaks into paper and chat, which is exactly what the guest notices.
If nothing changes
- Service quality depends on who is on shift, not on the file.
- Recovery is slow because nobody sees the same guest.
- Volume (events, season) creates coordinators, not capacity.
When it is working
The guest is one file across stations. Requests persist. Staff see what they need for the next interaction. Groups have a path that is not a private workbook.
Problems we commonly work on
Possible systems
- Keep the PMS for the standard stay
- A path for groups, events, or service rules it will not hold
- Staff and, where useful, guest visibility
Signals worth watching
- Requests that failed at a handoff
- Time to recover a known issue
- Manual lists required to run a group
Integrations
- PMS
- POS if it is a real gap
- Accounting

Selected work
Comparable files are walked through in a working session. We do not invent percentages for the website.
Describe the process as it runs. A specification is optional.
